What is it?

ITS is looking into holistic solutions to replace and modernize the existing access request process and system by creating a completely paperless solution that simplifies the access request process. Solutions include automation of access based on job positions and HR Onboarding/Offboarding processes.

We are also making improvements to the existing access request system for better usability and in preparation for the long-term solution.

Why are we doing it?

The current access request process and system need updating as it is complex, largely manual, and requires a high level of oversight. The update will reduce staff hours spent on administrative tasks, leverage automation where possible, and improve overall access security management.

How does this impact our UNC community?

Faculty and Staff

The access request process provides the ability to request security access to systems such as ConnectCarolina, Slate, and other applications for faculty and staff, based on their need to access specific data and system functions based on their job role(s) at the university.

Departments

There are multiple departments involved in requesting and granting security access to a user. The procedures currently vary across university departments and different ConnectCarolina pillars: Student Administration, Finance and Human Resources/Payroll.

When is this happening?

Analysis Phase Enterprise Applications began an initiative in January 2022 to solicit feedback from campus users, central offices, ARCs, and others to understand the pain points experienced in the current Access Request Process and Tool.  Completed August 2022

As a result of this, the ConnectCarolina team is launching a two-phase initiative to enhance the Access Request process and system.

Phase 1 – The first phase involves adjusting the current process. We will adjust the access request forms, align, and consolidate security role structures, and enhance the Access Request Tool in InfoPorte. Completed June 2023.

Phase 2 – The second phase involves assessment of build vs. buy options, including review of in-house tool viability and 3rd-party solutions resulting in a one-stop paperless holistic solution to replace our current process and system. It will include significant automation and the ability to manage security access across enterprise applications including, but not limited to ConnectCarolina, Concur, and others.
