Metadata

Metadata is information about a content item, such as the title, author, security group, etc. It is used to to find, categorize, view, and edit content in the CarolinaContent system. Metadata is also referred to as content information. The metadata model that has been setup for CarolinaContent has been established by ITS in conjunction with Oracle UCM Specialists to ensure it is flexible enough to be used across the campus community.
Metadata is added when you check-in a new piece of content. It can also be updated on an existing piece content.
There are three categories of metadata on content check in forms. These are General Information, Publishing Information, and Custom Information. Review the metadata types and descriptions of each field below.
General Information
Type (Required)
- Content: Basic content for the Web site
- KBArticles: Documents used on the Help site
- News: News articles for the web
- Policies: Specific document type for university and department policies
- Web-Assets: Back-end files like CSS Stylesheets, JavaScript, Layout files, etc.
Title (Required)
Choose a meaningful title for your content. The title will appear as the page title (Heading 1) on the Web page and is searchable in the content server.
Author (Required)
The author will default to the last person to edit the file. View the first revision to see who initially created the file.
Security Group (Required)
- Assets – This option is reserved for development.
- Public – Public allows all of the site visitors to view the content. Most content created in the content server will be Public.
- Restricted – The Restricted option will require site visitors to enter an Onyen username and password to view content.
Account
Choose the Account associated with your Web site. Additional levels of security can be applied using Accounts (ex. only certain site visitors that are associated with an Account may view Restricted content).
To limit access to specific individuals or groups, please submit a Remedy request to "ITS-ITS.UNC.EDU WEBSITE" or submit a trouble ticket through the online help request.
- Revision
- This field is un-editable and shows what revision, or version of the file is current. Each time a content item is updated a new revision is created.
Release Date (Required)
In most cases, the Release Date will be the date the content item was created. Changing the date to a past date will affect the content item’s position in dynamic lists (newer dates will appear at the top). Changing to a future date keeps the content item from being released on the live site until that date.
Expiration Date
The Expiration Date will default to 5 years from the date the content was created. To have a piece of content expire from the site, choose the date when it should no longer appear on the site. At that date, the content will still exist in the content server, but will no longer be viewable on the Web site.
Content ID
The Content ID is a unique identifier for content items. If left blank, the content server will automatically assign an ID (i.e., CCM1_015598).
Comments
Comments are notes that others can reference when editing a piece of content. Comments also double as summary text on ITS News posts and other dynamic lists.
Communications Approval Required
Works in conjunction with workflow (content approval process). Workflows are currently disabled and this field is defaulted to FALSE.
Primary file (Required)
The Browse… button allows you to choose a document or image from your computer and upload it to the content server. The maximum file name length is 80 characters, including the directory path and file extension.
Alternative file
The Alternative file functions as another web-viewable file format of a native document, or one that can be converted to a web-viewable format. For example, if you are checking in a FrameMaker or Quark document that has several files making up that document, you would check in a zipped file as the native format (or Primary File) and a Postscript, PDF, or viewable file as its Alternate File. You cannot view the zipped file on the web, but the Inbound Refinery will convert the Postscript file to its web-viewable format, PDF. In most instances, this option will be left blank.
Publishing Information
Web Sites
Metadata in this category is used to designate a usage. This field is important for the auto-replication process when content is moved between server environments. It also aids in filtering content when searching the content server or pulling content into dynamic lists.
Web Site Section
This field is the default Web site section where the content item is displayed. This option is applicable when displaying content in dynamic lists.
Web Site Object Type
Contributors will only apply the following options from the Web Site Object Type drop-down menu:
- Data file: A data file holds the content that appears within an editable region on a Web page. It is a unique XML document that holds content such as the Group Contact information that appears once or in multiple places on a CarolinaContent Web site.
- Image: Choose this option when uploading images to the content server. JPG, GIF, and PNG are the most frequently used image file formats.
- Native Document: Native documents are digital files checked in to the content sever and displayed online; i.e. Word, Excel, PDF, etc.
- Other Web Site Object Types include:
- Custom element form
- Fragment: A reusable chunk of code, similar to an include
- Layout File: Web site template
- Manager settings
- Other
- Project: XML settings configuration file; each Web site has one Project file
- Properties form
- Script: JavaScript file (or similar)
- Stylesheet: CSS document used to format content display
- Validation script
Exclude From Lists
Selecting this will exclude the content item from a Web site’s dynamic lists.
Custom Information
Category
Tag-like taxonomy terms for content item. Category terms are used to classify content and sort dynamic lists as well as link to similar content.
Subcategory
This field is dependent upon the Category selection.
Friendly Page Name
Not currently used.
Description
A short description of a content item which is displayed on the article listing pages of the Help site.

Keywords
Searchable keywords that can improve the search engine performance.
Self Review Desired
If enabled, the author will be able to self-review content item in workflow. Workflow is currently disabled.
